Frequently Asked Questions
Everything you need to know about Data Discourse AI
What is Data Discourse AI (DDAI), and how does it work?
DDAI is an AI-powered chatbot platform that lets small and medium-sized businesses "talk" to their HubSpot CRM and QuickBooks Online data using natural language. After securely connecting your data sources, DDAI extracts and harmonizes your data using our proprietary processes, then enables you to query it conversationally for real-time insights, trends, and forecasts—with no technical expertise required on your end.
How is DDAI different from built-in AI tools like HubSpot's ChatSpot or Intuit Assist?
While those tools work well within their individual platforms, DDAI is uniquely designed to unify data from both HubSpot and QuickBooks into a single, conversational interface. This lets you ask cross-functional questions—like correlating marketing sources with revenue outcomes—that native tools simply can't answer.
What insights can I get from combining my HubSpot and QuickBooks data?
You can ask powerful, strategic questions that blend sales, marketing, and financial data. For example: "Which lead source generated the highest revenue this quarter?" or "Are there any customers who have active deals but overdue invoices?" DDAI helps you connect the dots across your business.
What types of questions can DDAI answer out of the box?
DDAI supports hundreds of business questions out of the gate—ranging from basic sales metrics to advanced revenue and cash flow trends. Examples include: "What were our sales last month by region?" or "Which contacts in HubSpot have unpaid invoices in QuickBooks?" The app also includes a curated list of suggested queries so you can explore the platform's capabilities right away, without having to think what to ask.
Can I export or share the insights and charts DDAI generates?
Yes. You can download results as CSV files directly from the interface. We're also rolling out the ability to export polished PDF reports and schedule recurring email digests—so you can share up-to-date insights with your team or clients automatically, on a weekly or monthly basis.
How secure is my data with DDAI?
Security is a top priority. Your data is encrypted in transit and at rest using industry best practices. We use trusted infrastructure providers including Snowflake, Fivetran, and dbt. OAuth authentication ensures that you retain full control over data access, and we never use your data for training purposes.
How do I connect DDAI to my HubSpot and QuickBooks accounts?
You'll securely log in using LinkedIn, Google, or Microsoft credentials, then authorize DDAI to access your data via OAuth. This one-time setup takes just a few minutes and doesn't require any technical configuration.
What kind of support do I get during the trial or after I subscribe?
Every DDAI user—trial or paid—gets access to responsive, real-human support. You can create a support ticket directly within the app to resolve issues or ask questions, and we'll respond promptly. If you need more hands-on help, you can also book a live call with a DDAI team member at any time.
How fast can I get up and running with DDAI?
Most customers are fully operational within one business day. With guided setup, OAuth integrations, and our automated data pipeline, we eliminate friction and deliver value fast—often within hours.
How often is my data refreshed?
We refresh your data every 24 hours to ensure you're working with near real-time insights. This daily sync strikes the right balance between up-to-date accuracy and performance—ideal for most SMB use cases.
What happens if I disconnect a data source or cancel my subscription?
If you disconnect a data source, DDAI will stop syncing new data but retain historical insights until you reconnect. If you cancel your subscription, your data access is disabled, and we permanently delete your synced data within 30 days unless otherwise requested.
What types of businesses benefit most from DDAI?
DDAI is ideal for mid-sized businesses that use both HubSpot and QuickBooks—and have enough operational complexity to need real analytics, but are too lean to staff in-house data teams or pay for standard enterprise BI tools. Our best customers are data-curious, outcome-driven leaders who embrace SaaS tools early, value automation, and want fast, intuitive answers without spinning up dashboards or wrangling spreadsheets. They're looking to unify fragmented reporting, accelerate decision-making, and unlock insights that drive growth—with a tool that "just works." If that sounds like your team, DDAI is built for you.
Can I use DDAI with just one data source (HubSpot or QuickBooks), or do I need both?
Yes, you can use DDAI with just one system—either HubSpot CRM or QuickBooks Online. You'll still gain powerful insights from your CRM or financial data independently. However, combining both sources unlocks the full potential of DDAI, enabling richer, cross-functional analysis that most platforms can't provide.
Will there be other data sources added soon?
Yes—DDAI's roadmap includes expanding well beyond HubSpot and QuickBooks. At our core, we're building a platform that unifies data from disconnected SaaS systems, so midsize businesses can make smarter, faster decisions without needing a full data team. Our roadmap include Stripe, NetSuite, Google Ads, Zendesk, Mailchimp and Shopify—just to name a few. These additions will allow you to connect marketing, finance, support and e-commerce data into a single conversational interface for truly holistic business insights.
Does DDAI offer any forecasting or predictive analytics features?
Yes. In addition to historical and real-time insights, DDAI can surface basic forecasting—such as projected revenue, trends over time, or risk of churn—based on your integrated data. As we evolve, we'll continue expanding predictive capabilities like anomaly detection and proactive alerts.
Do I need to be a data analyst or technical expert to use DDAI?
Not at all. DDAI is designed for everyday business users—CEOs, sales leaders, finance managers, and operations teams. If you can ask a question in plain English, DDAI can answer it with context-rich insights and visualizations.
What's included in the basic vs. advanced setup services?
Our $49 basic setup includes comprehensive mapping of all standard tables and fields from HubSpot (45 tables, 890 fields) and QuickBooks (64 tables, 1,159 fields) to our common data model. Advanced setup—ranging from $399 to $999—covers any custom properties or workflows unique to your business that you would like to query.
Can multiple team members use DDAI at once? How does user management work?
Absolutely. Each DDAI account includes user-based access. Our standard plans cover 1–2 users, with additional team members available at $89/month per seat (annual billing).
What are the pricing plans, and what's the ROI I can expect?
Our annual plans start at $169/month for one data source or $299/month for both HubSpot and QuickBooks (includes 2 users). Additional users are $89/month (annual billing). Customers typically see ROI through time savings, faster decision-making, and insights that drive revenue or cost efficiency.
Is there a free trial or demo version available before I commit?
Yes. Every new customer receives a 14-day free trial upon sign-up. You'll get full access to DDAI's features so you can explore real-time insights, test queries, and experience the value firsthand. We also offer live product demos if you'd prefer a guided walkthrough before getting started.
Is DDAI compliant with data privacy regulations like GDPR or CCPA?
Yes. DDAI is built with privacy and security at its core. We follow industry best practices around data encryption, access control, and user consent. Our platform is designed to support GDPR and CCPA compliance by giving users transparency, control, and secure handling of their data.
How does DDAI ensure accuracy in its answers and insights?
DDAI is built on Snowflake's Cortex Analyst and Arctic LLM—two enterprise-grade technologies that prioritize precision and trustworthiness in AI outputs. Cortex Analyst provides a structured, secure framework for executing analytics with full data lineage and governance, while Arctic is a state-of-the-art open-weight LLM fine-tuned for business intelligence tasks.
