Why DDAI Uses Fivetran Instead of Building Custom API Connectors

Last weekend, I caught up with an old friend and my co-founder from Logic Box Software, where we spent more than a decade building custom CRM systems. He has a deep understanding of data, data modeling, and how businesses use information to drive decisions.

As we discussed my latest venture, DDAI, he asked a simple but important question: Why are you using Fivetran to extract customer data instead of building native API integrations yourselves?

It was a great challenge and one that forced me to revisit the reasoning behind our decision. The more I thought about it, the more convinced I became that this wasn't just a technical choice—it was a strategic one. 

Here are the key reasons we chose Fivetran as the foundation of our data extraction layer.

Faster Time to Market

Sure, AI has dramatically reduced the effort required to build API connectors, and a skilled data engineer can likely stand up integrations much faster today than was possible even a year ago. However, building a connector is only part of the challenge. Fivetran allows us to immediately deploy proven, production-grade integrations and accelerates our path to customer value 

Operational Responsibility Is Outsourced

The biggest advantage of Fivetran is not connector development speed—it is operational ownership. APIs change, authentication methods evolve, rate limits shift, and vendors periodically deprecate endpoints. Fivetran absorbs much of that operational burden, allowing a small team to support many customers without dedicating engineering resources to constantly monitoring and maintaining extraction infrastructure.

Automatic Schema Evolution

Business systems are constantly changing. New HubSpot properties appear, custom fields are added, objects are modified, and data structures evolve. Fivetran automatically detects and accommodates many of these schema changes, reducing the need for manual intervention. Without a managed platform, DDAI would need to continuously monitor source systems and update extraction logic to ensure data pipelines remain reliable.

Simplified Customer Onboarding

One of DDAI's core promises is fast, frictionless onboarding. Fivetran's mature OAuth-based integrations allow customers to securely connect systems such as HubSpot, QuickBooks, Stripe and many others, with minimal effort. Customers do not need to manage API keys, configure complex authentication settings, or involve technical resources. This directly supports our goal of delivering value within minutes rather than days or weeks.

Incremental Syncs and Reliability Are Already Solved

Reliable data movement requires much more than simply calling APIs. Incremental loading, change detection, retry logic, error recovery, scheduling, monitoring, and historical backfills all become critical as customer counts grow. Fivetran provides these capabilities as a managed service, reducing both development effort and operational risk.

Support for Customer Customization

Many companies heavily customize their systems. Custom HubSpot or Salesforce properties, custom objects, unique business processes, and non-standard configurations are common. Fivetran is designed to accommodate these variations and bring the resulting data into the warehouse without requiring DDAI to build custom extraction logic for every customer implementation.

Scalability Without Growing the Engineering Team

At ten customers, managing custom connectors is relatively straightforward. At hundreds or thousands of customers, the operational complexity increases significantly. Every source system issue, API change, failed sync, or backfill request becomes a support responsibility. Fivetran enables DDAI to scale customer onboarding and data ingestion without proportionally scaling a data engineering organization.

Allows DDAI to Focus on Its True Competitive Advantage

Data extraction is increasingly becoming a commodity capability. DDAI's differentiation comes from harmonizing data across systems, applying a Common Data Model, building trusted semantic definitions, and delivering AI-ready business intelligence through MCP, BI tools, and conversational analytics. By leveraging Fivetran for extraction, we can invest more heavily in the areas that create customer value and establish long-term defensibility.

A Strategic Choice, Not a Permanent Commitment

Using Fivetran today does not mean DDAI will always rely on third-party connectors. As the company grows, we can continuously evaluate the economics of individual integrations and selectively bring high-volume connectors in-house when it makes financial or strategic sense. Today, however, the benefits of reduced operational burden, faster customer onboarding, and increased focus on our core platform outweigh the costs of building and maintaining our own extraction infrastructure.
